
Assistant to the Office of the Medical Director and Clinical Services
Reporting to the Medical Director, the Assistant to the Office of the Medical Director and Clinical Services will provide support to the Medical Director and Clinical Services of the Hospital. The candidate will perform a variety of administrative and clerical tasks, implementing office procedures to support the efficient operation of the Office of the Medical Director and Clinical Services of the hospital.
Responsibilities Include
- Maintain a tidy and organized office
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Schedule and plan meetings and appointments
- Resolve office-related malfunctions and respond to requests or issues
- Complete research as requested; prepare documentation as needed
- Maintain trusting relationships with colleagues
- Support interaction with stakeholders, and visitors to the hospital/dept.
- Work closely with the Director of Clinical Services/Nursing Manager/HoD Family Medicine/Manager Clinical Support to support all secretarial needs.
- Support the functions of the hospital’s administration through liaison with the DOA Office as needed, and provision of documentation as requested
Qualifications
- Secondary school diploma and post-secondary qualification in secretariat duties, data management, statistics, social sciences, or similar fields
- Proven experience as an office assistant, or in another relevant administrative role
- Proficient computer use and knowledge of Word, Excel, PowerPoint; working knowledge of office equipment
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving to incorporate new and effective ways to achieve better results
- Ability to work diligently under pressure and maintain confidentiality
- Ability to balance multiple priorities and take instruction from multiple parties.
- Excellent written and verbal communication skills with attention to details
- Customer service orientation
Experience
- Two years of relevant experience.
- An attitude of serving.
- A desire to teach and train others.
- Proficient computer skills and proven working knowledge of email, Word, Excel, Power Point; working knowledge of office equipment.
